Job Title: Administrative & Operations Assistant
Pay Range: $18–$22 per hour
Schedule: 30–40 hours per week
Position Summary:

We are seeking a reliable and detail-oriented Administrative & Operations Assistant to support daily office and warehouse operations. This role is ideal for someone who is organized, proactive, and comfortable handling a variety of administrative and operational tasks, including logistics, purchasing, and vendor coordination.

Key Responsibilities:

  • Manage shipping and receiving of incoming and outgoing materials, ensuring accuracy and proper documentation

  • Maintain organized filing systems (physical and digital) for easy retrieval of records

  • Prepare and process purchase requisitions in accordance with company procedures

  • Handle ordering and purchasing of supplies, equipment, and other materials as needed

  • Coordinate and process returns, including tracking and communication with vendors

  • Assist with vendor management, including maintaining vendor records and vendor reviews

  • Packaging functions to include boxing and labeling.

  • Provide general administrative support such as data entry, document preparation, and correspondence

  • Support other office operations and projects as assigned

Qualifications:

  • Previous administrative, office or warehouse support experience preferred

  • Strong organizational and multitasking skills

  • Attention to detail and accuracy

  • Good communication and interpersonal skills

  • Proficiency with basic office software (e.g., Microsoft Office, Excel or similar tools)

  • Ability to work independently and as part of a team

Work Environment:

This position is based in an office/lab/manufacturing environment and will involve lifting. Must be able to lift up to 50 lbs.

Job Title: Quality Assurance Documentation Coordinator
Pay Range: $18–$22 per hour
Schedule: 30–40 hours per week

Position Summary:
The Quality Assurance Documentation Coordinator supports QA operations by ensuring accurate, organized, and compliant documentation practices. This role is responsible for maintaining records, tracking document revisions, reviewing operational logs, and supporting training and administrative documentation in accordance with company procedures and Good Documentation Practices (GDP). This position may also extend to Quality Control activities in manufacturing.

Key Responsibilities:

  • Manage, track, and close out Document Change Requests (DCRs) in compliance with company procedures.

  • Maintain and update the Master Document List, equipment inventory records, and QA-related logs and spreadsheets.

  • File and organize Quality Assurance (QA) records and documentation for easy retrieval and audit readiness.

  • Maintain and organize file cabinets and document storage systems (physical and/or electronic).

  • Conduct monthly reviews of operational logbooks to ensure accuracy, completeness, and compliance.

  • Verify equipment logbooks, including but not limited to freezers, environmental chambers, mixing tanks, balances, and laboratory instruments.

  • Archive completed logbook pages and maintain organized archive storage.

  • Create, track, and manage work orders as required.

  • Verify and maintain employee training records to ensure compliance with internal and regulatory requirements.

  • Perform verification checks during operational processes as needed.

  • Generate labels, stickers, and logbooks to support operational activities.

  • Ensure all tasks are performed in accordance with Good Documentation Practices (GDP) and company quality standards.

  • Assist with Quality Control activities in a manufacturing environment.

Qualifications:

  • High school diploma or equivalent required; associate’s or bachelor’s degree in a related field preferred.

  • Previous experience in Quality Assurance, document control, or administrative support in a regulated environment is a plus.

  • Strong organizational and record-keeping skills with attention to detail.

  • Familiarity with Good Documentation Practices (GDP) or regulated industry standards preferred.

  • Proficiency in Microsoft Office (Excel, Word) and document management systems.

  • Ability to manage multiple tasks and meet deadlines in a structured environment.
